Make a birthday-party running order that survives a delay

Protect the shared highlight, leave time to change activities and give one person the current plan.

A useful way through

  1. Choose the one activity the group most wants to share. Confirm its duration, host and any booking with the actual provider. Ask about access and dietary requirements through an appropriate private route. A pool, film or food activity needs its own arrangements; a theme does not settle them.
  2. Write the arrival window, activity start, meal or break and finish as separate entries. Add setup and reset time. Check the total against the venue booking and the people responsible for leaving it ready, rather than assuming guests can stay indefinitely after the last game.
  3. Mark which item can shorten or disappear if arrival runs late. Keep the agreed highlight and required departure time visible. Give the host a simple change rule so they do not have to negotiate the entire programme while welcoming guests.
  4. Share one dated running order with the people doing the work. Put the activity owner and necessary materials beside each entry. Before the event, walk through transitions: who clears a table, who starts the next activity and where guests go while that happens.

Put it into practice

An illustrative two-hour party runs from 14:00 to 16:00. Arrival takes 20 minutes, the shared activity 40, a break 20, an optional game 20 and the final gathering 20. If the activity starts ten minutes late, the optional game shrinks to ten minutes. The finish remains 16:00; no unapproved extension is hidden in the plan.

Include the work between the activities

A running order should show more than guest entertainment. List where materials wait, which table must be cleared and who checks the next setup. If the venue needs a separate cleanup period, book and show it explicitly. The sample’s final twenty minutes do not establish that a real venue can be cleaned in that time.

Keep the invitation shorter than the crew plan

Guests need arrival and finish times, the actual location and relevant preparation. The crew needs setup, transition and responsibility details. Keep both documents linked to the same current version. Do not collect unnecessary guest information merely to make the spreadsheet look complete.
