Return event rentals with an item and condition record

Link the delivery count, setup location, collection window and final return so hired pieces remain traceable.

A useful way through

  1. Build an item list with the rental supplier’s codes, quantities and supplied components. Separate furniture, covers, accessories and any service such as setup. Confirm what the supplier will deliver and which tasks belong to the organiser.
  2. Record delivery and collection arrangements with the venue. Check access, receiving contact, setup location and where packed items will wait afterwards. Outdoor use, weather arrangements and equipment-specific restrictions need the actual supplier’s approval.
  3. At handover, compare the delivered count and observed condition with the agreed record. Note discrepancies promptly using the supplier’s process. Do not accept an unperformed condition check as a completed one just because the event is about to start.
  4. Reconcile the return count and components before collection. Keep packed items identifiable, record the receiving party or return confirmation and retain unresolved observations. Use the agreed terms for cleaning, loss or damage questions rather than assuming a universal policy.

Put it into practice

An illustrative order contains 20 chairs and 4 tables. At collection preparation, 19 chairs are in the agreed holding area and one is still in another room. The return record remains incomplete until the twentieth chair is located and included. The 24 main pieces do not automatically account for separately listed covers or accessories.

A useful item record

Supplier code; description; delivered quantity; location; condition observation; return quantity; handover reference. Use actual photographs where appropriate and avoid recording guests unnecessarily.

Do not bury service exclusions

A price for an item does not necessarily include carrying, assembly, cleaning or collection from any room. Confirm those details with the supplier and venue before comparing quotations.
