A useful way through
- Ask the people involved which photographs matter and how they intend to use them. List essential groupings and any access or timing requirements through an appropriate private conversation. Do not assume everyone wants the same pose, publication or amount of time on camera.
- Agree the session location, weather alternative and realistic schedule with the photographer. Check access and permission for the place. Keep a short grouping list rather than an inflexible catalogue that leaves no room for breaks or an unwilling participant.
- Clarify selection, editing, delivery and image permissions in the actual agreement. Separate a private family print from public social sharing or the photographer’s advertising use. Ask how requests involving children are handled with the responsible adults.
- Review a delivered selection against the agreed groupings and uses. Check crop requirements for the intended print sizes before ordering. Keep the image filenames, photographer credit and relevant permission record together so a later crop or repost does not lose its context.

Put it into practice
A fictional family wants one whole-group print and two smaller groupings. One participant prefers not to appear in a public gallery. The brief separates the private delivery from public use and asks the photographer to confirm the arrangement. A complete private group photograph is not treated as permission to publish it everywhere.
Illustrative example, not a reported client project or test.

A practical grouping sheet
Use group name, participants, intended use, priority and a private note for the organiser if needed. Avoid putting sensitive family information on a public day sheet. The photographer needs enough information to work respectfully, not a biography of every participant.
A crop is another decision
A file that works as a wide group picture may lose a person in a narrow print. Ask for a preview at the intended aspect ratio. Keep the original and obtain the appropriate edit rather than distorting faces or assuming every frame fits every product.
