A useful way through
- Choose one bounded area: a desktop, one drawer or one shelf. Ask everyone who uses it what needs to happen there. Protect private papers and pause before moving someone else’s work. A whole-room makeover is not required to make one task easier.
- Sort by next action. Keep current work accessible, give reference material a named home, and put undecided items in one labelled place with an owner. Separate a document you need to act on from one you need only to retain. Do not let an unlabeled pile stand in for both.
- Place frequently needed items where the actual user can reach them comfortably. Check the working task with the proposed arrangement before buying containers. If several people share supplies, agree one return location and keep private storage distinct.
- Set a review point for undecided items and test the arrangement during ordinary use. Ask what still has no home or blocks the task. Retain or dispose of documents only under the applicable owner and retention requirements; tidiness is not permission to destroy a record.

Put it into practice
An illustrative shared desk has a current invoice to answer, a reference manual and a cable of unknown ownership. The invoice goes to an action tray with a named person; the manual goes to a labelled shelf; the cable gets an owner query and review date. At the next check, count unresolved decisions rather than claiming the room is permanently clutter-free.
Illustrative example, not a reported client project or test.

Before you act
Keep confidential information private and follow the actual retention rules. Do not move another person’s records, unplug essential equipment or discard medicines, batteries or electronics as ordinary paper waste.
A reset card for the shared space
Area; intended task; users; active-work location; reference location; undecided-items owner; review date. Add one observation after a working day: what was difficult to find or return?
When storage is the wrong next purchase
If you cannot name the category or owner, another box merely relocates the decision. Resolve the destination first. Buy a container only after checking its size, access and purpose against the actual items.
