Work

Define a security-service brief beyond a licence screenshot

Separate the individual’s relevant licence, the company’s status and the site-specific duties before agreeing a security service.

MichaelT editorial24 October 2026

Write the actual service requirement

State the site, dates, hours and tasks you want the provider to discuss. Describe operational questions in ordinary language without publishing sensitive vulnerabilities, access codes or personal information. A general request for security may conceal very different duties. Keep guarding, door supervision and surveillance questions separate so the provider can explain the relevant service and requirements.

Check the correct official record

GOV.UK directs users to the SIA licence-holder register and distinguishes it from the approved security-company register. Use the appropriate official route and exact identifiers. Match the type and current status to the work being discussed. A company’s logo, an old card image or a person with a similar name is not a current role-specific check. Other jurisdictions have their own rules.

Agree duties and reporting

Ask for the proposed duty scope, responsible supervisor, relevant site induction, communications and incident-report handover. Define who receives reports and how confidential information is protected under the actual arrangement. Keep staffing and response commitments explicit. A licence check alone cannot determine staffing adequacy or make a site safe; use a competent site-specific assessment and appropriate advice.

Retain change and completion records

Document how changed hours, duties or personnel will be confirmed and checked. Keep the actual service record and unresolved incidents with the authorised recipient. This worksheet does not teach physical intervention, surveillance tactics, searching people or responding to threats. Follow the relevant professional arrangements and emergency route when needed rather than improvising from a web article.

Three records with different jobs: The individual, company and site arrangement answer different questions; an incident report needs an authorised recipient.

Work through an example

A fictional venue requests door supervision on dates D. Provider P supplies a company approval reference, but the proposed individual’s relevant licence check and supervisor contact remain outstanding. The coordinator records these as separate questions and asks for the duty and report handover plan. No real licence, venue assessment, guard or protective outcome is claimed.

Illustrative example; figures, people and organisations in the worked record are fictional.

Keep your own record

Use the result within its scope

Use the official local registers and competent service planning. Neither this brief nor a register entry guarantees protection, establishes the lawfulness of every action or replaces site-specific professional judgement.
